AI Agent That Onboards Experts in 70 Fewer Hours

Every new expert required 70+ hours of manual work — contracts, briefs, materials, portal access, and follow-ups.

Context

CXL is one of the most recognized marketing training platforms internationally, with hundreds of experts producing courses on growth, CRO, analytics, and performance marketing. Brian Dandelet (Head of Operations) manages the operational backbone: expert contracts, materials collection, portal configuration, payments, and royalties.

CXL’s value depends on the quality and speed at which new experts are onboarded: every new course means new organic traffic, new subscribers, new MRR.

The Real Problem

Onboarding a single expert required 70+ hours of manual work spread across weeks:

  • Contract negotiation and clause customization (royalties, exclusivity, IP)
  • Content brief and syllabus collection
  • Materials validation (slides, videos, exercises)
  • Learning portal access configuration
  • Payment and revenue share setup
  • Coordination with the content team for go-live
  • Dozens of follow-up emails to keep momentum alive

The result: catalog expansion was throttled by ops capacity. Adding an expert meant hours of manual work that didn’t scale. To grow, CXL either had to hire new ops (burning margin on CAC) or rethink the process entirely.

What the AI Agent Did

Soraia built an AI agent that takes ownership of the entire expert onboarding from first contact to go-live:

  1. Receives the expert’s request (application form or intro from the BD team)
  2. Drafts the contract parameterized against CXL’s criteria (royalty rate by category, exclusivity, duration)
  3. Sends the content brief to the expert and collects materials (syllabus, slides, video sample)
  4. Validates materials against CXL’s quality criteria
  5. Configures portal access via API
  6. Sends personalized follow-ups in brand tone — never pushy, always contextual to the expert’s current status
  7. Hands off to the human team only the steps that require a legal signature, a strategic decision, or a sensitive conversation

The agent is available 24/7, communicates with experts across multiple time zones, maintains a consistent tone, never gets tired, and never drops a follow-up.

Results

70 hours saved per expert onboarded. Measured by comparing human time pre-agent vs. post-agent across the same set of tasks.

Course catalog scaled without hiring new operations: onboarding capacity is now limited only by the quality of available experts — not by Brian’s and the team’s hours.

Expert go-live time cut: from weeks down to a matter of days, because the agent doesn’t wait for ops team availability windows.
